Scheduling
At Ananya Aesthetics, appointments are required. Every effort is made to accommodate your request and we encourage you to schedule appointments well in advance, so you are able to book the appointment time that you prefer. Please refer to our cancellation policy prior to reserving your appointment time. Scheduling an appointment is your acceptance of this policy. We love having you as a patient but we do reserve the right to refuse service at any time, to any one, for any reason.
Recommended Arrival Time/Late Arrivals
For your first visit, please arrive 10-15 minutes prior to you appointment to allow ample time to check in and complete intake paperwork.
For all other appointments, please arrive 5-10 minutes prior to your appointment so you have plenty of time to relax and do any paperwork that may be required. Arriving late may cause a limit in treatment, and/or may delay the next patient’s appointment. We will always do our best to accommodate but in some cases, rescheduling your appointment may be the best option for you. In such cases, the cancellation policy will apply. *Please see Cancellation Policy*
Appointment Reminders
As a courtesy to our patients, we will contact you one day prior to your scheduled appointment via email. If you are unable to make your appointment we urge you to call us back and let us know as soon as possible, as others may be waiting for your scheduled appointment time. Failure to cancel your appointment will result in a $50 cancellation fee. Keep in mind the reminder email is a courtesy. You are responsible for your appointment time whether or not you receive an email. Please be sure emails from us are not going into a spam folder.
Cancellation Policy
We understand that unanticipated events happen occasionally in everyone’s life. Our desire is to be effective and fair to each of our clients, therefore the following policies are honored:
If you need to cancel your appointment, please allow a minimum of 24 hours to notify us of this cancellation. This allows the opportunity for someone else to schedule an appointment. If you are unable to give us 24 hours advance notice you will be charged a $50.00 cancellation fee for your appointment. The card left on file will be charged. This amount must be paid prior to your next scheduled appointment.
**If you have a medical emergency and must cancel with less than 24 hours notice, please provide your medical receipt and your appointment can be rescheduled for another time with no additional booking fee required.
No Shows Policy
Anyone who either forgets or consciously chooses to for go his, her or their appointment for whatever reason will be considered a “no-show.” They will be charged a $50.00 fee for their “missed” appointment. *Please See Cancellation Policy*
If a patient arrives for their appointment but then leaves for whatever reason and decides not to continue with the appointment it is considered a "No Show." By not formally informing the staff of their decision to cancel or reschedule, the appointment time remains reserved, which prevents the clinic from offering that slot to another patient. In the even the patient does discuss their decision with staff, the appointment becomes a late cancellation and the Cancellation Policy is placed in effect. *Please See Cancellation Policy*
Rescheduling Policy
Each client is given a one time courtesy rescheduling opportunity for an original appointment. If a client needs to reschedule again, a $100 non refundable booking fee needs to be placed within 48 hours of the appointment (or at time of booking whichever is soonest). This booking fee can go towards the treatment, however if the clident does not show, is 15 minutes or more late, or needs to reschedule again, the booking fee is lost. After rescheduleing twice you will no longer be able to book with our practice. This superceeds the original appointment 15 minutes late policy.
Consultation Policy
Consultation fees can only be applied towards a treatment if the treatment is booked on the day of the consultation and completed within 30 days of the consultation date. Clients are allowed to reschedule the treatment one time as a courtesy, but it must still occur within the original 30-day period. Any additional rescheduling will result in forfeiture of the consultation fee. The consultation fee is applicable only towards treatments and cannot be used for products or other store merchandise. Cancellation, rescheduling, late/ no show policies and any other applicable policies apply.
Appointments Booked Online
If you need to leave a special note regarding your appointment, please call/text or email our office to notify us of this. We will not see the message in the appointment until the day of the appointment.
Payment Options
We accept all major credit cards and cash. We also accept Care Credit™. Gift cards such as Visa or American Express gift cards and checks are not accepted. We also accept PayPal, Google Pay, Apple Pay, or Venmo.
Prices and Promotions
We try to make Ananya Aesthetics as affordable as possible, and although we try to keep our website and menu of services as updated as possible, please note that prices, services and products are subject to change at any time without notice. Special offers and discounts may not be combined.
Service Return Policy
All of our treatments and services are non-refundable and non-transferable. Unfortunately, we do not offer refunds on services even if you are disappointed in the result or unhappy with the outcome.
Product/Accessories/Other Merchandise Return Policy
In order to protect our employees and our customers from any additional risk, all of our products (including skincare), accessories, and other merchandise are final sale and non-refundable. This policy is consistent with sales made online and in-office. We are also unable to accomodate exchanges. We are not responsible for items damaged in transit or items you accidentally damaged. The moment you submit an order, we are unable to cancel it or refund your money. Once a product has left our office, we cannot accept it back and/or give a refund.
Prepaid Service Policy
If you prepaid for a service, and no longer wish to use this service, we are unable to refund your money, however you may use that credit towards another treatment and/or merchandise sold at Ananya Aesthetics as long as an item was not specifically ordered for you as a merchandise or for a treatment. In the event there was an item ordered specifically for you, you may use the difference of the credit minus our costs of the item as well as the costs of our time towards another treatment and/or merchandise.
Selfcare Membership Cancellation Policy
All policies in detail can be found in the Selfcare Membership Contract and a copy can be requested at any time but the next information is a brief summary. The selfcare membership can be cancelled at any time after the initial period of 6 months. A 30 day advance written notice must be provided to us via email to [email protected].
Selfcare Membership Late Payment Policy
A valid credit card must be on file at all times and is the responsibility of the member to maintain this at all times. Payment is due on the first of every month. Should payment not be processed on the first for any reason, the client has 5 days to reconcile payment and make sure the credit card on file is valid. If this is not done, the client will be charged late fees and processing fees as indicated in the contract. More detailed information on this can be found in the Selfcare Membership Contract which a copy can be requested at any time.
Selfcare Membership Changes Policy
ZKN Medical Corporation/Ananya Aesthetics has the right to change the Selfcare Membership at any time provided a 30 day written notice to the member. The member has the responsibility that their email on file is valid.
Selfcare Membrship Other Policies
All policies in detail can be found in the Selfcare Membership Contract and a copy can be requested at any time.
Social Media Policy:
At Ananya Aesthetics we do not consult throught social media platforms due to the sites not being HIPPA compliant platforms. We also will not consult via text message.
Children Policy:
We love children! Many of our staff have children! However, so that we may provide a safe and comfortable experience, we suggest children under the age of 15 to be accompanied by another adult who is not receiving services. Ananya Aesthetics will not be held liable for any injuries that may occur.
Location Etiquette
As a courtesy to other guests, and building residents, please maintain a quiet level of conversation. Additionally, we ask that all guests silence their cell phones during each visit to our location.
Full Disclosure
At Ananya Aesthetics our main goal is for you to be happy with our service and love the results you achieve. We believe in full disclosures, which means we strive to ensure that you understand the treatments you review and the risks and benefits associated with each of them. With this in mind, we urge you to read through each of the consent forms that we provide for you prior to signing them. If you have any questions at any time, please ask. We are here to help!
